Why business emails go to spam: a practical checklist

Incoming spam protection does not guarantee inbox placement for outgoing mail. Recipient providers assess authentication, reputation, content and user feedback.

Investigate one example

Distinguish a rejection from a delivered message moved to spam. Record the time, recipient provider and error code, and obtain message headers where available.

  • Check SPF, DKIM and DMARC alignment.
  • Look for compromised accounts or websites sending without permission.
  • Use clear subjects and expected content, and avoid unsolicited lists or sudden bulk sending.
  • For false positives, review individual messages rather than disabling filtering broadly.
