Plan business email backups and archives
IMAP synchronization is not an independent backup: deleting mail on one device can remove it everywhere. Current Civema packages do not include offsite backup.
Create a plan
- Identify required mailboxes, folders, calendars and contacts.
- Export an independent copy using an appropriate mail application or backup tool.
- Store it outside the mail server with restricted access and encryption.
- Open a sample message and attachment to test restoration.
- Document responsibility, frequency, version history and retention.
An Archive folder within the same mailbox is not protection against server failure. Preserve needed records before deleting an employee account or clearing quota. Keep recovery keys secure and do not share company archives through public links. A file that has never been restored should not be treated as a guaranteed recovery path.
